When we picture a high-end wedding, we often picture the finished product: breathtaking florals, beautiful tablescapes, stunning wedding cakes, perfectly dressed venues, and every detail looking effortless.
But what happens behind the scenes?
Creating a luxury wedding is about so much more than choosing beautiful flowers or finding the perfect venue. It takes vision, organization, creativity, communication, trusted vendors, and someone who can keep all of the moving pieces working together!
In this episode of The Mixing Bowl Diaries, I sat down with wedding planner Cheryl Palmer to talk about what really goes into creating a high-end wedding and what couples may not realize is happening behind the scenes.
From creating a wedding around a couple's unique story to managing timelines, vendors, unexpected challenges, and even destination celebrations, Cheryl gave us a fascinating look at what it takes to make a wedding feel effortless.
What Makes a Wedding Feel Truly High-End?

One of the biggest takeaways from my conversation with Cheryl was that a memorable wedding should feel personal to the couple rather than looking like a copy of someone else's celebration.
Start With the Couple's Story
When Cheryl first meets with a couple, one of the things she wants to know is their story.
How did they meet?
Where do they live?
What are they interested in?
What is important to them?
Those conversations help her understand who the couple is before making decisions about the wedding. And that is what can make a wedding feel truly special. Instead of simply recreating the latest wedding trend, the goal is to create an experience that feels like them.
You Don't Have to Do Everything Everyone Else Is Doing
Wedding trends can be a wonderful source of inspiration, but Cheryl believes couples shouldn't feel pressured to include something simply because everyone else is doing it.
Maybe you don't want personalized koozies.
Maybe you don't need elaborate favors.
Maybe there is a tradition that doesn't mean anything to you.
That's okay!
A beautiful wedding doesn't have to check every box on a traditional wedding checklist. The most memorable celebrations often come from the details that have a personal connection to the couple.
The Creative Process Behind a Wedding
One of Cheryl's favorite parts of wedding planning is the creative process.While some couples come into the planning process with a very specific vision, others know what they like without knowing exactly how to bring it all together.That's where an experienced planner can make a tremendous difference!
Turning Inspiration Into a Cohesive Design
A couple might have a Pinterest board filled with beautiful ideas, but that doesn't necessarily mean all of those ideas work together.
There can be hundreds of decisions to make:
Which flowers should be used?
What color should the candles be?
Where should the candles be placed?
What type of linens work with the venue?
How should the tables be arranged?
Which details should be emphasized?
How can all of the individual elements work together?
Having someone who can take those ideas and turn them into a cohesive design can make the process much less overwhelming.
Sometimes You Just Need to Trust Your Planner
One of Cheryl's favorite moments is when a client says, "I trust you."
For a creative professional, that trust opens the door to creating something truly special. Sometimes the client knows the feeling they want but doesn't know exactly how to achieve it. A planner can help translate that feeling into flowers, candles, colors, layouts, décor, and experiences. That creative collaboration is one of the things that makes wedding planning so rewarding.
Why Vendor Relationships Matter So Much
A luxury wedding isn't created by one person. It takes a team!
Wedding planners work alongside photographers, florists, bakers, caterers, musicians, hair and makeup artists, transportation companies, venues, rental companies, and countless other professionals.
Trust Your Vendors to Do What They Do Best
Cheryl believes strongly in respecting the professionals she works with. Rather than micromanaging every vendor, she gives experienced professionals the space to do their jobs.
She knows that the photographer understands photography.
The florist understands flowers.
The band knows how to read the room.
The baker understands the cake.
That trust creates a stronger team and ultimately creates a better experience for the couple.
Communication Makes the Team Work
Of course, trusting vendors doesn't mean communication isn't important. A successful wedding requires everyone to understand the overall plan.
Timelines, transportation, setup, photography, hair and makeup, meals, entertainment, and transitions all have to work together. The planner becomes the person helping all of those individual pieces fit into the bigger picture.

The Wedding Timeline Is More Important Than You Might Think
One of the most interesting parts of our conversation was discussing how much thought goes into a wedding-day timeline. It isn't simply a list of events with times next to them. A planner has to consider how long each part of the day takes and how one vendor's responsibilities affect another vendor's schedule.
Working Backward From the Important Moments
For example, Cheryl doesn't necessarily tell the hair and makeup team exactly when they have to start. Instead, she focuses on when everyone needs to be finished so that the photography timeline stays on track.
That approach gives vendors the flexibility to determine how they can accomplish their work while still protecting the overall wedding-day schedule. It's a great example of how experienced planning can make a complicated day feel seamless.
The Goal Is for Guests to Never See the Logistics
A successful wedding day should feel effortless to the couple and their guests. Behind the scenes, however, someone may be tracking transportation, vendor arrivals, setup, meals, photography, entertainment, weather, and dozens of other details. The guests shouldn't have to think about any of that. They should simply experience the celebration.
Planning for the Unexpected
If there is one thing a wedding planner knows, it's that something unexpected will eventually happen.
Weather can change.
Transportation can run late.
A venue can have an unexpected issue.
An event can encounter a logistical challenge that no one anticipated.
Cheryl shared stories about weddings where unexpected circumstances required quick thinking and creative problem-solving.
A Good Planner Always Has a Plan B
One of her early full-service weddings was actually a surprise wedding disguised as an engagement party. Because the celebration was being held at a home, the team had to think about things like tents and flooring in case of rain. And, as luck would have it, they ended up needing that backup plan.
That's one of the realities of weddings: sometimes the things you prepare for become the things you actually need. The best planners aren't simply creating a beautiful plan. They're creating a plan that can survive the unexpected.

Even couples who genuinely enjoy planning their weddings can become overwhelmed when the actual wedding day arrives.

After talking with Cheryl, one thing became very clear: creating a high-end wedding isn't simply about creating something that looks expensive.

It's about understanding the couple.
It's about choosing vendors who are talented and trustworthy.
It's about designing a cohesive experience.
It's about anticipating problems before they happen.
It's about knowing when to step in and when to let a professional do their job.
And perhaps most importantly, it's about creating a wedding day where the couple doesn't have to worry about everything happening behind the scenes!
